Insurance IT Associate - Portland

Description This position is responsible for Information Technology teamwork to keep the United Insurance Systems running smoothly in order that we can continue to serve our customers within our technology environment. This will involve a very broad set of responsibilities. Among them:

– Help Desk Assistant

  • Respond to Staff emails to troubleshoot and fix technology issues
  • Utilize the tools available to help, among them: support chat with Applied Epic, shadowing employees, Teamviewer, Citrix StoreFront, etc.
  • Refer issues that can’t be solved internally to our Technology Partner: Systems Engineering
  • Support the various software products that United Insurance utilizes to troubleshoot and fix issues. This includes: Microsoft Office 365 Suite, DocuSign, Applied Epic, etc.
  • Assist staff with password issues and changes in coordination with the Systems Administrator. Confidentially maintain and update a UIG master list
  • Assist staff with phone issues, phone setup, headset issues, and Jabber setup
  • Assist staff with Exchange and Active Directory issues
  • Communicate with all employees on downtime and status updates

– With Applied Epic as our company’s agency management system, this position will be involved with the management of that tool, including:

  • New Employee setup and profile creation, as well as the deactivation of terminated employee profiles
  • Troubleshooting issues including printing, procedure errors, navigation, lockups, etc
  • Managing form letters and changes and updates to those letters as needed
  • Run reports for management as needed and maintain scheduled reports in a generic login profile named “Accounting” to ensure the jobs in queue run normally
  • Perform policy workload reassignments and maintain system security levels for staff
  • Assist staff with issues with the Epic RealTime tool

– Team with the Systems Administrator to ensure that the daily policy download runs successfully

– Help manage and track our technology equipment and hardware. This will include ordering new and replacement PC’s, thin clients, phones, headsets, keyboards and other peripherals. Configuring this equipment as needed, and occasional onsite visits for installation, testing and troubleshooting will be necessary

– Manage the CSR24 client portal, which will include adding clients and staff profiles, assisting the Account Manager with onboarding and training clients, assisting with client passwords and unlocks, and working with the new MobileInsured mobile app implementation and roll out

– Update, manage and maintain the UI Website. This will include activities such as updating news, maintaining employee profiles and photos and managing mail traffic

– Serve as the administrator for the company’s Technology Committee, organizing and scheduling meetings, taking and distributing minutes and communicating as necessary

– Network Administration duties related to the Citrix thin client and Cisco phone environment

– Manage email traffic associated with licensing and compliance issues and contribute to solutions and setup in regards to licensing and compliance with Carriers and various states.

– Work on special projects as assigned; CSR24 MobileInsured, creating and consolidating forms, questionnaires, and supplemental applications

Requirements

  • An Education in the IT Field, with ideally a minimum of a 2 year degree
  • 2 – 3 years of full time IT, Helpdesk, and systems administration experience
  • Experience in the Citrix and Thin Client environment as well as with Cisco Phones
  • A positive attitude, a personable nature, and plenty of patience with our fellow employees. When they reach out to the help desk, they’re typically trying to help a customer and are feeling very frustrated and stressed. You will need to help diffuse some of that, not add to it.
  • A team player mindset where we work together to share information freely to solve problems, help our staff work more efficiently, make process improvements, and advance the company’s service quality

Primary Responsibilities:

  • Maintaining a professional connection among clients, the agency and company underwriter.
  • Manage several projects simultaneously.
  • Review and process mail using personnel and procedures in place for support.
  • Respond to daily telephone calls and requests for ID cards, Binders, Broker of Record request, Cancellations, and Reinstatements, for example.
  • Request policy amendments.
  • New business and policy renewal marketing. Includes preparation of applications, rating, forwarding to designated companies, soliciting quotations, and then communicating information to the Client.
  • Preparation of new business or renewal proposals and summaries as needed.
  • Check monthly renewal list which includes review of renewal policies, making any changes on coverages as appropriate. Also includes follow up to the Insurance Carrier for any policies not received by renewal date.

Job Qualifications:

An active Maine Property & Casualty license and preferably 2 years’ experience is recommended, although consideration will be given to an unlicensed candidate.
